1What personal data we process
Quantevo processes personal data when you use our website or services, or when you provide this data to us yourself.
We may process the following personal data, among others:
- first and last name
- company name and job title
- email address
- phone number
- IP address
- browser and device data
- data about website usage
- information you provide through forms, email, intake calls, strategy calls or other communication channels
In the context of AI services, personal data may also be processed that appears in:
- prompts
- inputs
- outputs
- customer communication
- business data, such as CRM data, order data, invoicing information, customer data or email data
- data from systems with which integrations or automations are set up
Quantevo only processes personal data that is necessary for the performance of its services, legal obligations or legitimate business purposes.
2Purposes and legal bases
Quantevo processes personal data for the following purposes:
- performing agreements
- delivering, developing and managing AI solutions, workflows, automations, AI agents and associated integrations
- conducting intake, strategy and advisory calls
- invoicing and administration
- contact, support and customer management
- improving our website and services
- security, logging and monitoring of systems
- complying with legal obligations
Processing takes place on the basis of one or more of the following legal bases:
- performance of an agreement
- legitimate interest
- legal obligation
- consent
3AI processing and responsibility
For custom AI services, Quantevo generally acts as a processor within the meaning of the General Data Protection Regulation (GDPR). In that case, the Client remains the controller.
The Client remains responsible for:
- the lawful provision of personal data
- determining the correct legal basis for processing
- informing data subjects
- assessing whether the use of AI is appropriate within its own organization and processes
- reviewing and applying AI outputs
Where legally required, Quantevo and the Client conclude a separate data processing agreement.
Quantevo does not use customer data to train its own AI models or for commercial purposes, unless prior written consent has been given for this or an independent legal basis exists.
AI systems generate probabilistic output. Output may be incorrect, incomplete or outdated. The Client remains responsible for the assessment, validation and application of AI outputs.
4Retention periods
Quantevo does not retain personal data longer than necessary for the purposes for which it was collected, unless a longer retention period is legally required or necessary for the performance of the agreement.
In principle, we apply the following retention periods:
- administrative and tax data: 7 years
- customer and contact data: a maximum of 2 years after the last contact, unless longer retention is necessary for the performance of an agreement or legitimate interest
- AI project data: as long as necessary for the performance, delivery, support or termination of the assignment, unless agreed otherwise
- data from contact forms or intake calls: a maximum of 2 years after the last contact
- technical logs: as long as necessary for security, error analysis and monitoring
After the retention period expires, personal data is deleted or anonymized, unless further retention is legally permitted or required.
5Sharing data with third parties
Quantevo does not sell personal data to third parties.
Personal data may be shared with carefully selected third parties and sub-processors, insofar as this is necessary for our services. This may include:
- hosting and cloud providers
- AI and LLM providers, such as OpenAI, Anthropic or comparable providers
- automation platforms and integration tools
- CRM, email and communication tools
- accounting and invoicing software
- technical support partners
Where necessary, data processing arrangements are made with parties that process personal data on behalf of Quantevo.
If personal data is processed outside the European Economic Area (EEA), this is done solely on the basis of appropriate safeguards, such as Standard Contractual Clauses (SCCs), additional security measures or another valid transfer basis under the GDPR.
6Security
Quantevo takes appropriate technical and organizational measures to protect personal data against loss, misuse, unauthorized access, unwanted disclosure and unauthorized alteration.
These measures may include:
- encrypted connections, such as SSL/TLS
- access control
- restricted access on a need-to-know basis
- secure storage of API keys and login credentials
- logging and monitoring
- secure hosting
- periodic review of access rights
- internal agreements on confidentiality and data use
Quantevo maintains an internal data breach protocol in accordance with the GDPR.
7Your rights
Under the GDPR, you have various rights regarding your personal data. Among other things, you have the right to:
- access your personal data
- have your personal data corrected
- have your personal data deleted
- have the processing restricted
- object to processing
- have your data transferred
- withdraw consent previously given
Requests can be sent to anass.mzyati@quantevo.nl. We respond to your request within four weeks. In some cases, we may ask for additional information to verify your identity.
You also have the right to lodge a complaint with the Autoriteit Persoonsgegevens (the Dutch Data Protection Authority).
8Cookies
Quantevo uses functional cookies and may use analytical cookies to make the website work properly and to analyze website usage.
Functional cookies are necessary for the functioning of the website. Analytical cookies are only used without consent when they are configured in a privacy-friendly way and have no or limited impact on the privacy of visitors.
If Quantevo uses tracking cookies, marketing cookies or similar techniques for which consent is required, consent is requested in advance via a cookie banner.
